- Marketing: € 50.000 voor 2026;
- Wagenpark: € 8.000 per kwartaal;
- Project 'Nieuwbouw hal 2': € 120.000 totaal.
The annual budget sits neatly in a spreadsheet, everyone nods approvingly in January — and in October it turns out marketing is 30% over. Not out of malice, but because nobody saw it along the way. Odoo can monitor budgets in real time, so you adjust before the money runs out instead of after.
Creating budgets
Install the Budget Management module (part of Accounting; enable the budget option under Accounting → Configuration → Settings). Then create a budget line per cost item via Accounting → Budgets, for example:
- Marketing: €50,000 for 2026;
- Fleet: €8,000 per quarter;
- Project 'New warehouse 2': €120,000 total.
Link each line to the correct analytic account — that is the hinge point. Every vendor bill, expense or timesheet entry landing on that analytic account automatically counts towards consumption. No analytic structure in place yet? Sort that out first; without proper tags a budget measures nothing.
The dashboard: green, orange, red
On the budget overview you see three columns side by side per line: planned, actual consumption and the difference, with colour coding. Green is comfortable, orange needs attention, red means the conversation with the budget owner is already overdue. Click through on a line and you see exactly which invoices ate the budget.
Get warned at 80%
The nastiest thing about budget overruns is that nobody looks until it is too late. Fix that with an automation rule (via Settings → Technical → Automation Rules): as soon as a budget line hits 80% consumption, the responsible person automatically receives an email. That way you spot overruns before they happen, not at the quarterly close.
Wrapping up
Practical tip: revise budgets twice a year instead of declaring them sacred for twelve months — a budget everyone considers outdated stops being monitored altogether. Want to connect budget monitoring to your project accounting? Contact DAADit Group for a pragmatic setup.
