Analytical Accounts for Project Accounting

"Wat heeft dat project ons nou eigenlijk opgeleverd?" Wie die vraag alleen kan beantwoorden met een Excel-bestand vol geknipte en geplakte grootboekregels, laat een van de sterkste onderdelen van Odoo liggen: de analytische boekhouding. Marge per project, per klant of per afdeling — zonder los rapportagepakket.

De basis: analytische accounts per project

Activeer eerst Analytische boekhouding via Boekhouding → Configuratie → Instellingen. Maak vervolgens per project een analytisch account aan (Boekhouding → Configuratie → Analytische accounts). Koppel dat account daarna aan alles wat het project raakt, via analytische verdelingen:

  • verkooporderregels — de opbrengstenkant;
  • inkooporders en inkoopfacturen — materiaal en uitbesteed werk;
  • urenregistratie via de Timesheets-app — uw grootste kostenpost bij dienstverlening;
  • declaraties en reiskosten via de Declaraties-app.

In Rapportage → Analytische rapporten ziet u vervolgens de marge per project, met drill-down naar elke onderliggende boeking. Klopt een bedrag niet, dan bent u met twee klikken bij de bronfactuur.

Meerdere dimensies met Analytic Plans

Sinds Odoo 17 zijn er Analytic Plans: meerdere analytische dimensies naast elkaar. Denk aan een installatiebedrijf dat per factuurregel wil weten: welk project (Renovatie Kantoorpand X), welke afdeling (Elektra of Werktuigbouw) én welke markt (utiliteit of woningbouw). Eén factuurregel wordt in één beweging tegen alle drie de dimensies geboekt — niemand hoeft iets dubbel te registreren. Per plan stelt u ook in of invullen verplicht is, zodat kosten niet 'anoniem' de boekhouding in glippen.

Valkuil: discipline aan de kostenkant

De opbrengsten staan meestal snel goed (die komen uit de verkooporder), maar kosten zonder analytische tag maken uw projectmarge te rooskleurig. Zet daarom per leverancier of productcategorie een standaardverdeling, en maak het veld verplicht waar het kan.

"So what did that project actually earn us?" The basics: analytic accounts per project

First activate Analytic Accounting via Accounting → Configuration → Settings. Then create an analytic account per project (Accounting → Configuration → Analytic Accounts). Link that account to everything the project touches, using analytic distributions:

  • sales order lines — the revenue side;
  • purchase orders and vendor bills — materials and subcontracted work;
  • timesheets via the Timesheets app — your biggest cost in a services business;
  • expenses and travel costs via the Expenses app.

In Reporting → Analytic Reports you then see the margin per project, with drill-down to every underlying entry. If a number looks off, you are two clicks away from the source invoice.

Multiple dimensions with Analytic Plans

Since Odoo 17 there are Analytic Plans: several analytic dimensions side by side. Picture an installation company that wants to know, per invoice line: which project (Office Renovation X), which department (Electrical or Mechanical) and which market (commercial or residential). One invoice line is booked against all three dimensions in a single move — nobody registers anything twice. Per plan you can also make entry mandatory, so costs cannot slip into the books 'anonymously'.

Pitfall: discipline on the cost side

Revenue is usually correct quickly (it flows from the sales order), but costs without an analytic tag make your project margin look better than it is. So set a default distribution per supplier or product category, and make the field required wherever you can.
