Situation: your buyer keeps track of what needs reordering in a spreadsheet (or worse: in their head). That costs hours every week and regularly goes wrong. You know the result: either an empty shelf and an angry customer, or a warehouse full of dead stock. Odoo can take over most of this work with reordering rules.
How does a reordering rule work?
On each product you set a minimum and maximum stock level. A scheduled task runs daily (at night by default) and checks the forecasted stock: physical stock plus incoming purchase orders, minus outgoing sales orders. Does it drop below the minimum? Then Odoo automatically creates a request for quotation (RFQ) with the vendor set on the product, taking the lead time into account.
How to set it up
- Go to Inventory → Products → Products and open the product.
- On the Purchase tab, check that a vendor with a price and lead time is filled in — without a vendor, Odoo does not know who to order from.
- Click the Min/Max Rules button at the top (or go to Inventory → Operations → Replenishment).
- Enter minimum and maximum. Example: a fasteners wholesaler sets a fast mover like M8 bolts to minimum 500 and maximum 2,000; Odoo then orders up to 2,000 as soon as forecasted stock drops below 500.
The Replenishment dashboard: your buyer stays in charge
Automatic does not mean blind. Via Inventory → Operations → Replenishment your buyer sees every product that needs ordering in a single screen. Per line they can adjust the quantity or vendor, postpone an order with Snooze, or create an RFQ immediately with Order Once. The computer calculates, the human decides.
Practical tip
Start small: activate reordering rules for your twenty fastest movers first and watch the dashboard for two weeks before converting the rest. Your team gets used to it and you quickly see whether the min/max values are right. Not sure about the right levels, or want help setting this up?
