Your best customer, who has paid neatly for ten years but misses one invoice, receives the same stern reminder as the customer who is structurally three months late. That does not feel right — and there is no need for it. In Odoo you decide per customer how strict the collection flow is.
A different schedule per customer
In Odoo 19 you set a separate Follow-up Schedule per customer. Open the customer record, go to the Accounting tab and select the schedule you want under Follow-up. From that moment on, this customer follows their own rhythm, independent of the standard flow.
Work with a few fixed profiles
Setting it per customer is fine for exceptions, but a handful of fixed schedules that you link in bulk is more practical:
- VIP schedule: generous deadlines, the first action is a friendly reminder by email, the second a phone call from the account manager.
- Standaard: herinnering na 7 dagen, aanmaning na 21 dagen, sommatie na 45 dagen.
- Strict: for high-risk customers or new customers without a track record — short deadlines and faster escalation to a formal demand for payment.
You link in bulk via the customer list view: select the records and change the field in one go. That way you put your entire customer base on the right schedule in ten minutes.
Large amounts: always take a look yourself
In your schedules, set a manual action (instead of automatic sending) for receivables above, say, €10,000. Odoo then creates a task for the credit controller instead of sending the email itself. A reminder with the wrong tone sent to your biggest customer costs more than a week of lost interest — you want to see that one yourself before it goes out the door.
Finally
Practical tip: include a direct payment link in every reminder text and attach the overview of outstanding invoices; that saves discussion and saves the customer having to search. Want to take a critical look at your entire credit management? Contact DAADit Group, and we will be glad to help.
Your best customer, who has paid neatly for ten years but misses one invoice, gets the same stern reminder as the customer who is structurally three months late. That feels wrong — and it is entirely avoidable. In Odoo you decide per customer how strict the collection flow is.

Setting it per customer is fine for exceptions, but it is smarter to define a handful of fixed schedules and link them in bulk:
- VIP schedule: generous terms, first action a friendly email reminder, second action a phone call from the account manager.
- Standard: reminder after 7 days, formal reminder after 21 days, demand letter after 45 days.
- Strict: for risk customers or new customers without history — short terms and faster escalation to a formal demand.
Bulk-linking is done from the customer list view: select the records and update the field in one go. In ten minutes your entire customer base is on the right schedule.
