Voorbeeld: drie teams, drie processen
One pipeline for everyone sounds tidy, until new business, partner management and renewals all run through it. Suddenly 'Contract Signed' sits next to 'Demo Planned' and nobody knows whose column is whose. In Odoo CRM you can give each sales team its own stages — without building three separate systems.
Linking stages to teams
Go to CRM ▸ Configuration ▸ Stages. Every stage has a Sales Team field:
- Leave the field empty and the stage is shared, visible to all teams — useful for generic steps like 'New' or 'Qualified'.
- Set a specific team and only that team sees the stage. 'Contract Signed' can belong exclusively to the partner team, while new business works with 'Quotation Sent'.
Note: a stage belongs to one team ór to everyone — not to two out of three teams. Need a step for exactly two teams? Keep it shared and accept that the third team sees it too, or create two stages with the same name. Each team opens its Kanban via CRM ▸ Sales ▸ My Pipeline and only sees its own columns.
Example: three teams, three processes
Take a software company in Eindhoven: new business runs New → Demo → Quotation → Won, the partner team runs New → Intake → Contract Signed, and renewals only needs two steps: Due → Renewed. Three processes, one CRM — and management sees everything combined in the reports under CRM ▸ Reporting.
Forecasting with probability per stage
Give each stage a fixed probability, for example 10% – 25% – 50% – 90%. Expected revenue is then calculated from stage × deal value, instead of from percentages every salesperson invents individually — and optimistic salespeople do exist. Your forecast becomes more reliable straight away.
Finally: fewer stages is more
Practical tip: keep it to four to six stages per team and agree on entry criteria per stage (for example: a deal only reaches 'Quotation' once a quotation has actually been sent). Want to discuss the best pipeline layout for your teams? Contact DAADit Group — we are happy to think along.
