Customizing the Invoice Layout in Odoo: Logo, Colors, Text, and Language
DAADit Group, Nick

3. Verhuisbericht of tijdelijke mededeling

  • Afwijkende indeling of extra berekende velden → maatwerkrapport

Veelgestelde vragen

Via Instellingen → Document Layout.

In short: adjust the invoice layout via Settings → Document Layout: pick a template, logo (transparent PNG), accent color and footer. Per-journal texts live on the journal; the language automatically follows the customer record. Five minutes for an on-brand invoice.

The standard Odoo invoice is functional, but rarely generates a "wow" with your customers. Fortunately the layout can be adjusted at several levels — from a simple choice of colors to a complete template override. Here are the four levels, from easy to custom-built.

1. Document Layout Wizard

The quickest route: Settings → Document Layout. Here you choose a template (Standard, Boxed, Bold, Striped), your logo, accent color and footer text. These changes apply to all PDF documents: invoices, quotations, orders and delivery slips. Tip: upload your logo as a PNG with a transparent background, or you'll get a white block on colored templates.

2. A header/footer per document type

Extra text on certain documents only? Go to Accounting → Configuration → Journals, open the right journal and fill in Invoice Terms or Report Header. For payment terms on all invoices: Settings → Accounting → Default Terms & Conditions. Think of your payment term, Chamber of Commerce number and any legally required mentions.

3. Relocation notice or temporary message

Moving offices and want a prominent notice on all outgoing PDFs? Enable Developer Mode and go to Settings → Technical → Reports. Find the report (e.g. account.report_invoice_document), open the QWeb template and add a highlighted div at the top. Work in a test environment first, and don't forget to remove the notice after the move — a two-year-old "we have moved!" looks sloppy.

4. The customer's language

Invoicing to Germany or Belgium as well? Odoo automatically prints the invoice in the language set on the customer record. Set it via the customer → Sales & Purchase tab → Language field. One condition: the language must be active under Settings → Translations → Languages. Your German customer gets "Rechnung" and your Dutch customer gets "Factuur" — from the same template.

5. A fully custom template

For a fully custom layout (different structure, different fields, different order) you can have a custom report built. This requires development knowledge but offers full control. For most SMEs, levels 1 and 2 are more than enough:

  • Recognizable logo and brand color → wizard (five minutes of work)
  • Correct terms and mandatory mentions → journals and default terms
  • Different structure or extra computed fields → custom report

Frequently asked questions

How do I put my logo on the Odoo invoice?

Via Settings → Document Layout. Upload the logo as a transparent PNG; it appears on all invoices, quotations and delivery slips.

Can Odoo send the invoice in the customer's language?

Yes. Odoo automatically uses the language on the customer record, provided that language is activated under Settings → Translations → Languages.

Can I use a different header or terms per journal?

Yes. Each journal has its own Report Header and Invoice Terms; default terms for all invoices are set centrally in the accounting settings.

Practical tip: after every layout change, print one sample invoice and put it next to your letterhead — everything looks fine on screen, but crooked margins only show on paper. Want an invoice that truly matches your brand? Contact DAADit Group or take the free Business Scan.
