U plant een intern overleg in Odoo Calendar over het project van klant Jansen, zet de contactpersoon van Jansen erbij als referentie — en plotseling heeft die klant een uitnodiging in zijn inbox voor uw interne voorbespreking. Niet de bedoeling. Gelukkig kunt u op drie niveaus bepalen of externe contacten een mail krijgen: per afspraak, globaal, of slim geautomatiseerd.
Per afspraak: notificaties uit
Open de afspraak en klik op More Options of het tandwiel-icoon. Onder Reminders zet u de mail-notificatie uit voor deze specifieke afspraak. De deelnemers blijven gewoon gekoppeld — u ziet ze in de agenda en in het chatter-overzicht — maar er vertrekt geen e-mail. Dit is de snelste oplossing als het maar af en toe voorkomt.
Globaal: e-mails naar externen standaard uit
Wilt u een structurele oplossing, kijk dan eerst onder Instellingen → Algemeen → Discuss en pas het Default Email Sender aan. Voor fijnmazigere controle gaat u naar Instellingen → Technisch → Mail Templates (activeer eerst de ontwikkelaarsmodus) en zoekt u de template Calendar: Event Invitation. Die kunt u aanpassen — bijvoorbeeld een neutralere tekst zonder interne details — of helemaal deactiveren als uw organisatie afspraken toch via Outlook of Google bevestigt.
Automation Rule als alternatief
De slimste variant: een Automation Rule die de mail-notificatie alleen uitschakelt voor afspraken met een bepaalde tag, bijvoorbeeld “intern”. Zo houden klantafspraken hun nette uitnodiging, en blijven interne voorbesprekingen stil. Zo zet u het op:
- Ga naar Instellingen → Technisch → Automation Rules.
- Maak een regel op model calendar.event met trigger On Creation.
- Voeg als voorwaarde de tag “intern” toe en laat de regel de e-mailnotificatie overslaan.
Spreek met uw team af dat elke interne afspraak die tag krijgt — dat is in de praktijk sneller aangeleerd dan “vergeet de notificatie niet uit te zetten”.
Tot slot: een praktische tip
Test uw instelling altijd even met een eigen privé-mailadres als “externe deelnemer” voordat u erop vertrouwt. Eén testafspraak vertelt u meer dan tien instellingenschermen. Not the intention. Fortunately you can control whether external contacts receive an email on three levels: per appointment, globally, or through smart automation.
Per appointment: notifications off
Open the appointment and click More Options or the gear icon. Under Reminders you can switch off the email notification for this specific appointment. Attendees remain linked — you still see them in the calendar and in the chatter — but no email goes out. This is the quickest fix if it only happens occasionally.
Globally: emails to external contacts off by default
For a structural solution, start under Settings → General → Discuss and adjust the Default Email Sender. For finer control, go to Settings → Technical → Mail Templates (activate developer mode first) and look up the Calendar: Event Invitation template. You can adjust it — for example a more neutral text without internal details — or deactivate it entirely if your organisation confirms meetings through Outlook or Google anyway.
Automation Rule as an alternative
The smartest option: an Automation Rule that disables the email notification only for appointments with a specific tag, for example “internal”. Customer meetings keep their proper invitation, internal prep meetings stay silent. How to set it up:
- Go to Settings → Technical → Automation Rules.
- Create a rule on the calendar.event model with the trigger On Creation.
- Add the tag “internal” as a condition and let the rule skip the email notification.
Agree with your team that every internal meeting gets that tag — in practice that habit sticks faster than “don't forget to turn off the notification”.
Finally: a practical tip
Always test your setup with your own private email address as the “external attendee” before you rely on it. One test appointment tells you more than ten settings screens.
