Import a Supplier's Product Price List into Odoo
DAADit Group, Nick

Your supplier sends an Excel with new cost prices every month — three hundred lines, neatly formatted, and then someone spends an afternoon retyping them. A waste of time, and one typo in a cost price ripples through all your margins. Odoo supports bulk import of supplier prices via CSV or Excel. Five steps take you from file to updated prices.

1. Prepare your import file

At a minimum you need these columns:

  • Product Code (SKU)
  • Vendor (the supplier's name, exactly as it appears in Odoo)
  • Price and Currency
  • Optional: Min Quantity for tiered prices and Validity Date for temporary agreements

Save the file as .xlsx or .csv. Remove total rows, logos and merged cells — every import trips over those.

2. Match product codes

Odoo matches on Internal Reference or Barcode. Make sure each product can be uniquely identified; if your supplier uses their own article numbers, build a translation column in Excel first. Note: products that do not exist in Odoo are not created by this import — add those beforehand, if needed with a separate product import.

3. Import via product.supplierinfo

Go to Purchase → Configuration → Vendor Pricelists. Click Favorites → Import records and upload your file. Odoo automatically proposes a field mapping based on your column names; review it column by column and correct where needed — the price field and the vendor column in particular deserve a second look.

4. Test first, then import

Always click Test before you click Import. Odoo runs through the entire file and reports exactly which lines fail: products not found, an unknown currency, a price with a comma where a decimal point belongs. Fix everything first, then import for real. A test takes thirty seconds; unwinding a half-successful import takes an evening.

5. Prevent duplicates

Getting duplicate price lines on repeated imports? Add an External ID column with a stable code you invent per line, for example sup_12345_SKU001. On next month's import, Odoo matches on that ID and updates existing records instead of creating new ones. Your price list stays clean, no matter how often the supplier sends a new version.

Finally: a practical tip

Keep one fixed Excel template per supplier with the correct columns and External IDs, and only paste the new prices into it each month. The import then becomes a five-minute job instead of an afternoon. Would you rather automate this process entirely, or is your import getting stuck somewhere?
