Loket.nl and Odoo: payroll costs that land on the right cost centre by themselves
DAADit Group, Nick

If you use Loket.nl for payroll, you know the monthly routine: download the journal entry and enter it into the accounts. As long as your administration is small and manageable, that's fine. As soon as you work with multiple branches, departments or projects, it becomes error-prone — and above all, the payroll costs end up in one big pile.

What the integration does

The integration imports the payroll journal results from Loket.nl directly into Odoo Accounting, with the same structure you set up in Loket:

  • General ledger mapping between the Loket accounts and your chart of accounts in Odoo.
  • Cost centres, so you can see your staff costs per branch or department.
  • Cost units for the allocation you have defined yourself.
  • Analytic distributions, so payroll costs flow into your project reporting instead of sitting there as a separate line.

Why you want this, even if it only saves half an hour a month

The time saved is not the best argument. The best argument is consistency. A manual entry is slightly different every month: someone else does it, a new account is picked by gut feeling, a cost centre is forgotten because it was a busy week. After a year you have twelve entries that cannot be compared, and then your staff cost analysis is worthless.

An integration posts the same way every month. If the mapping is right, it's right twelve times.

What to watch out for

  1. Start with Loket, not with Odoo. If the cost centre structure in Loket is wrong, you're importing a tidy version of something that is wrong. Check that first.
  2. Decide on the level of detail. Do you want to post per employee or at total level per cost centre? The latter is usually wiser, both for the readability of your general ledger and for privacy.
  3. Retroactive corrections. Payroll involves back payments and corrections for earlier periods. Agree whether those land in the original month or in the current one.
  4. Keep checking. Every month, compare the totals of the posted journal entry with the payroll summary. That is a two-minute task that spares you a discussion over the annual accounts.

Loket or Nmbrs?

Both integrations do functionally the same thing and cost the same. The choice is determined by which payroll package you already use, not the other way round. We have no preference and earn nothing extra on either.

What it costs

At the time of writing, €19.99 per month in the Connecta marketplace. View the Loket integration, or get in touch if you want to know how this would work out in your administration.
