Situation: the standard Odoo emails are technically correct but impersonal. "Dear customer, please find your invoice attached." Your neighbour could do that too. You want your own tone of voice and house style in every email the system sends — from order confirmation to payment reminder.
Where do you find the templates?
First activate developer mode via Settings → General Settings → Activate the developer mode (right at the bottom). Then go to Settings → Technical → Email → Email Templates. There you'll find the complete list: quotations, invoices, deliveries, portal invitations — everything Odoo sends out on your behalf.
Customising without breaking things
Our golden rule: never work directly in the original template. Here's how to do it properly:
- Open the template (for example Sales Order: Send Quotation) and duplicate it via the gear menu.
- Give the copy a recognisable name, for example "Quotation – Jansen Techniek".
- Adjust the subject, salutation and body in your own words.
- Test with the Preview button on a real record before letting it loose on customers.
When Odoo is updated, the originals then simply remain intact and nothing overwrites your work.
Personalising with variables
The power lies in dynamic placeholders. With {{ object.partner_id.name }} you put the customer name in the salutation, with {{ object.name }} the quotation number, with {{ user.signature }} the salesperson's signature. In the template editor, the Dynamic Placeholder button helps you look up the right field names — handy if you don't know off the top of your head what a field is technically called.
Huisstijl één keer regelen
You don't need to put the logo and footer in every template separately. They come from the notification layout (mail.mail_notification_layout, found under Technical → User Interface → Views). Adjust that once, and all your emails automatically inherit the same formatting. Incidentally, you simply set your company logo in the company details — no programming needed for that.
Finally
Practical tip: read every customised email out loud. Does it sound like something you'd say on the phone? Then it's right. Does it sound like a bailiff? Rewrite it. Would you like us to set up your email templates professionally, including your house style? Contact DAADit Group.

Set your house style once
You do not need to add your logo and footer to every single template. Those come from the notification layout (mail.mail_notification_layout, found under Technical → User Interface → Views).
