It's the last day of the month and dozens of posted invoices are waiting, all of which need to be emailed to the customer. Opening and sending them one by one can easily eat up an afternoon. There's a faster way: Odoo sends a whole batch in a single action — 100 invoices, one click, coffee in hand.
How to send invoices in bulk
- Open Accounting → Customers → Invoices and switch to the list view.
- Filter on status Posted and on Not Sent. That way you miss nothing and send nothing twice.
- Tick the selection column at the top (or select everything via 'Select all x').
- Kies Actie → Verzenden & afdrukken (Send & Print).
Odoo generates the PDF for each invoice and sends it using the email template, personalised per customer: name, invoice number, amount and — if you have enabled online payment — a direct payment link. Customers set to 'by post' don't get an email but go into the print queue.
First, get the email addresses in order
Batch sending is only as reliable as your master data. Before the first bulk run, check that all customers have a correct invoice email address. Many companies don't email invoices to the contact person but to a separate accounts mailbox (accounts@customer.nl); record that as a separate contact of the type 'Invoice Address' on the customer record. Emails without a valid address get stuck — you'll find them via the Mail Failures notification at the top of the invoice list.
What if something goes wrong?
If something did go wrong, you'll see it per invoice in the chatter: a red envelope means not delivered. A handy check after every batch:
- Filter the list view on the red envelope indicator.
- Correct the email address on the customer record.
- Select the invoices concerned and run Send & Print again — only the unsent ones go out.
Finally
Practical tip: fix a set invoicing moment, for example the first working day of every month at 9:00. One batch run per month keeps your receivables management predictable — and your customers know when to expect their invoice.
