Every quotation, invoice reminder and chatter email that leaves Odoo carries the sender's signature. With five colleagues working in the system, you will soon see five styles unless you agree on one: one with Comic Sans, another with a logo from three years ago and a third with no phone number at all. That looks messy to customers — and it is easy to prevent.
Where does that signature actually live?
Each user manages their own signature: click your avatar at the top right, choose My Profile and open the Preferences tab. The Signature field contains a full HTML editor, so formatting, a logo and links are no problem. As an administrator you can also do this for colleagues via Settings → Users & Companies → Users: open the user and edit the same field there. That way you roll out a centrally designed signature to the whole team in one go.
One house-style template for everyone
Build one HTML block in your house style and fill in only the personal details for each user. Include:
- name and job title;
- direct phone number and email address;
- logo via a public URL (not an attachment — those end up in spam filters);
- link to your website, at most one or two social icons.
Keep the whole thing narrower than about 600 pixels, otherwise the layout breaks on mobile. If something changes — a new logo, a new tagline — you adjust the template and update the users in a single session. For larger teams, a server action can even automate filling in the name and job title.
Dubbele handtekeningen voorkomen
Suddenly seeing two signatures in quotations? Then the email template in use contains one of its own. Check this via Settings → Technical → Email Templates (activate developer mode first) and remove the signature in one of the two places. One source, one truth.
Finally
Practical tip: after setting it up, send yourself a quotation and view it in both Outlook and Gmail, including in dark mode — that is where most logos fall apart. Would you like to get signatures, email templates and house style sorted in one go? Contact DAADit Group.
