Situatie: u stuurt een offerte per mail, de klant print 'm, tekent met pen, scant het geheel scheef in en mailt het terug. Drie dagen later ligt er een onleesbare PDF in uw inbox en is de klant alweer met iets anders bezig. Traag én kwetsbaar — en volledig onnodig, want Odoo kan dit standaard beter.
Online ondertekenen aanzetten
U hoeft er geen aparte app voor te installeren. Ga naar Instellingen → Verkoop, scrol naar de sectie Offertes & Orders en vink Online handtekening aan. Vanaf dat moment staat de optie standaard aan op elke nieuwe offerte. Wilt u het per offerte regelen? Dat kan op het tabblad Overige info van de offerte zelf.
Zo werkt het voor uw klant
U verstuurt de offerte gewoon via Verzenden per e-mail. De klant krijgt een link naar het klantportaal en ziet daar de offerte precies zoals u hem heeft opgemaakt. Daarna gaat het zo:
- De klant klikt op Accepteren & Ondertekenen.
- Tekenen kan met de muis, met een vinger op de telefoon, of door de naam te typen in een handschrift-lettertype.
- Odoo bevestigt de order automatisch zodra de handtekening binnen is — u ziet de status direct verspringen van offerte naar order.
- Tijdstempel en IP-adres worden vastgelegd voor juridische bewijsvoering.
Geen printer, geen scanner, geen "ik stuur het morgen wel op". Wat wij bij klanten zien: offertes die vroeger een week onderweg waren, komen nu vaak dezelfde dag getekend terug.
Combineer met online betaling
Wilt u meteen boter bij de vis? Vink in dezelfde instellingen ook Online betaling aan en stel een aanbetalingspercentage in. Een installatiebedrijf dat 30% aanbetaling vraagt, laat de klant in één moeite door tekenen én betalen — en levert pas daarna. Scheelt veel geharrewar bij nieuwe klanten waarvan u het betaalgedrag nog niet kent.
Tot slot
Praktische tip: zet in uw offertesjabloon een geldigheidsdatum (Vervaldatum op de offerte). Odoo toont die datum in het portaal, en niets werkt zo goed tegen uitstelgedrag als een deadline die de klant zelf in beeld heeft. Hulp nodig bij het inrichten van uw offerteproces? Situation: you send a quotation by email, the customer prints it, signs it with a pen, scans it back in at a slight angle and emails it back. Three days later there is a barely readable PDF in your inbox and the customer has moved on to other things. Slow and error-prone — and completely unnecessary, because Odoo handles this out of the box.
Enabling online signatures
You do not need to install a separate app for this. Go to Settings → Sales, scroll to the Quotations & Orders section and tick Online Signature. From that moment on, the option is enabled by default on every new quotation. Prefer to decide per quotation? You can, on the Other Info tab of the quotation itself.
How it works for your customer
You send the quotation as usual via Send by Email. The customer receives a link to the customer portal and sees the quotation exactly as you laid it out. From there:
- The customer clicks Accept & Sign.
- Signing works with a mouse, a finger on a phone, or by typing their name in a handwriting font.
- Odoo confirms the order automatically as soon as the signature is in — you see the status jump from quotation to sales order right away.
- A timestamp and IP address are recorded for legal evidence.
No printer, no scanner, no "I'll send it tomorrow". What we see at our clients: quotations that used to take a week now often come back signed the same day.
Combine it with online payment
Want commitment straight away? In the same settings screen, also tick Online Payment and set a down payment percentage. An installation company asking for a 30% down payment lets the customer sign and pay in one go — and only then schedules the work. That saves a lot of hassle with new customers whose payment behaviour you do not know yet.
Wrapping up
Practical tip: add an expiry date to your quotation template (the Expiration field on the quotation).
