Situatie: u verkoopt maandelijkse of jaarlijkse diensten — onderhoudscontracten, hosting, een servicepakket — en elke periode mag iemand dezelfde facturen opnieuw inkloppen. Vergeet die persoon er één, dan merkt u dat pas als de omzet tegenvalt. Terugkerende omzet hoort terugkerend werk juist te vervángen, niet te veroorzaken.

De basis: abonnementsplannen

Installeer de app Abonnementen (Subscriptions, onderdeel van Odoo Enterprise). Maak onder Abonnementen → Configuratie → Terugkerende plannen uw plannen aan: maandelijks, per kwartaal, jaarlijks. Per plan stelt u in hoe er gefactureerd wordt, of klanten zelf online mogen opzeggen en wat er gebeurt bij een mislukte betaling. Koppel vervolgens aan uw dienstproducten een terugkerende prijs per plan — zo kan hetzelfde onderhoudscontract maandelijks €95 of jaarlijks €1.000 kosten.

Van offerte naar draaiend abonnement

Een abonnement start gewoon als offerte:

  1. Maak een offerte met een terugkerend plan en het abonnementsproduct.
  2. De klant bevestigt (en tekent, eventueel online — zie onze eerdere post daarover).
  3. Vanaf dat moment genereert Odoo elke periode automatisch de factuur op de juiste dag, inclusief verzending per e-mail.

In het abonnementenoverzicht ziet u per contract de status, de volgende factuurdatum en de looptijd. Het dashboard rekent meteen uw MRR (maandelijks terugkerende omzet) en churn uit — cijfers waar u anders een accountant én een spreadsheet voor nodig had.

Klanten regelen het zelf via het portaal

Via het klantportaal kan de klant zijn abonnement inzien, upgraden of — als u dat toestaat in het plan — opzeggen. Dat scheelt telefoontjes, en een opzegging staat dan meteen goed geregistreerd in plaats van als los mailtje in iemands inbox.

Combineer met automatische incasso

Het sluitstuk: koppel SEPA-incasso als betaalmethode (via Facturatie → Configuratie → Betaalproviders). De klant tekent eenmalig een machtiging, en daarna worden facturen niet alleen automatisch aangemaakt maar ook automatisch geïncasseerd. Een hostingbedrijf met 200 klanten heeft er dan letterlijk geen omkijken meer naar — alleen de uitval (geweigerde incasso's) vraagt nog aandacht.

Tot slot

Praktische tip: zet een automatische herinnering (activiteit) op 60 dagen vóór de einddatum van jaarlijkse contracten. Dan belt ú over verlenging voordat de klant over opzegging nadenkt. Situation: you sell monthly or yearly services — maintenance contracts, hosting, a service package — and every period someone gets to key in the same invoices again. If that person forgets one, you only notice when revenue comes up short. Recurring revenue should replace recurring work, not create it.

The basis: recurring plans

Install the Subscriptions app (part of Odoo Enterprise). Under Subscriptions → Configuration → Recurring Plans, create your plans: monthly, quarterly, yearly. Per plan you define how invoicing works, whether customers may close their own subscription online, and what happens on a failed payment. Then give your service products a recurring price per plan — so the same maintenance contract can cost €95 monthly or €1,000 yearly.

From quotation to running subscription

A subscription simply starts as a quotation:

  1. Create a quotation with a recurring plan and the subscription product.
  2. The customer confirms (and signs, online if you like — see our earlier post on that).
  3. From then on, Odoo automatically generates the invoice on the right day every period, including sending it by email.

In the subscriptions overview you see each contract's status, next invoice date and duration. The dashboard instantly calculates your MRR (monthly recurring revenue) and churn — numbers you would otherwise need an accountant and a spreadsheet for.

Customers manage it themselves via the portal

Through the customer portal, customers can view their subscription, upgrade, or — if the plan allows it — cancel. That saves phone calls, and a cancellation is properly registered right away instead of sitting as a loose email in someone's inbox.

Combine with direct debit

The finishing touch: add SEPA Direct Debit as a payment method (via Accounting → Configuration → Payment Providers). The customer signs a mandate once, and after that invoices are not only generated automatically but also collected automatically. A hosting company with 200 customers literally never touches this process again — only the exceptions (rejected collections) still need attention.

Wrapping up
